Administrative Assistant/Office Manager

Full Time Position available for a take-charge, experienced, positive individual who is highly organized, able to multi-task and detail oriented.
Stable, 25 year old architectural firm is looking for a team player to work with professional staff to ensure all aspects of projects are completed in an accurate and timely manner. Should have 3-4 years experience in an Architectural, Engineering or similar firm.
- Must live in the area.
- Work hours : 8:30 AM to 5:30 PM Monday to Friday
RESPONSIBILITIES INCLUDE:
- Run day to day operations
- Assist the professional staff with research
- Manage the office schedule
- Oversee status of all projects
- Invoicing
- Prepare bi-monthly employee payroll
- Manage E-mails
- Inventory and order office supplies
- Shipping
- Client contact and communication
- Manage incoming mail
ADDITIONAL EXPECTATIONS::
- Improve current inter-office communication system
- Improve data availability to staff
- Work toward converting the office to a more paperless environment
SKILLS:
- Basic computer maintenance knowledge
- Excellent working knowledge of Microsoft programs including: Outlook, Excel and Word
- Must be proficient in Quick Books
REFERENCES: *Provide references from former employees for the last 3 to 4 years
