Supervisor: Director of Undergraduate Studies
This is a Non-Exempt full time position
The Program Manager will assist the Director in providing outstanding program management for the Undergraduate Bachelors completion programs offered in the School of Undergraduate Studies. The program manager provides comprehensive administrative and technological support for the School of Undergraduate Studies; helps students with general academic questions; and assists students in developing and clarifying their academic goals and plans. This includes course selection and planning, registration, and understanding academic policies and procedures. The program manager supervises two work-study students, and a professional writing tutor.
Essential Duties and Responsibilities:
ADMINISTRATIVE
- Assists Director with tracking attrition and post-graduate study and work, and assists with compilation of statistics
- Collects and analyzes data from exit surveys; develop data reports; tracks, coordinates, completes, and submit surveys.
- Supports academic program assessment data collection and reporting
- Coordinates academic support services workshops (career, graduate school preparation, and writing workshops)
- Creates and maintains a database of current students and alumni
- Updates course listings; requests, collects, organizes and distributes faculty course descriptions and syllabi
- Creates schedule of classes and manages room scheduling
- Attends department meetings, prepares agendas, records and distributes/posts minutes
- Attends Institute-wide meetings such as Schedule Process Team and Program Coordinators
- Updates program Student Handbook
- Plans routine and special academic events, programs, and activities (Closing Ceremonies, alumni events)
- Plans and participates in recruiting, orientation, open houses, and information meetings
- Serves as primary program contact for incoming student inquiries
- Processes new student applications for faculty review
- Provides administrative support for Program Director and ad hoc committees as needed (conduct correspondence for program, check requests, course reader production, office supplies, etc.)
- Performs other duties as assigned
GENERAL ADVISING
- Tracks student enrollment status each semester; maintains departmental student records; maintains and updates student roster
- Advises on matters of course degree requirements and transfer credit evaluation; helps monitor students¡¦ progress
- Advises current students of administrative policies, procedures, and deadlines
- Assists Director in creating academic plans for all undergraduate students
- Assists students in registration, and adding, dropping, or withdrawing from classes
EDUCATIONAL TECHNOLOGY
- Works with Educational Technology Specialist in development and maintenance of program space on Caucus and myCIIS.edu (student portal)
- Generates reports using Jenzabar system
- Updates and maintains all program information on institute website
- Produces quarterly alumni e-newsletter
- Videotapes Closing Ceremony and alumni reunion events for archives
EXPERIENCE AND EDUCATION
- Bachelor¡¦s degree with a minimum of five years of experience working in higher education required; Master¡¦s degree with a minimum of three years of experience working in undergraduate advising preferred.
- Ability to interact with faculty, students, staff and public with diplomacy
- Demonstrated ability to operate computer systems and related peripherals such as digital cameras and/or video cameras with computer systems and software (MS Word, Powerpoint, Excel) as well as basic productivity tools (i.e. word processors, spreadsheets, databases)
- Willingness to work some evenings and weekends, as needed
- Demonstrated ability in using the Internet and software for creating web pages
- Well-organized, attentive to detail, and able to meet deadlines
- Excellent writing, communication and interpersonal skills
- Capacity to work collaboratively as well as to take initiative
SALARY AND BENEFITS: $43-48K, DOE
