Administrative Assistant Specialist

Zodiac Services Americas LLC is an aftermarket organization supporting Repair, Spare Parts Distribution and Technical Support for Zodiac Group's aerospace companies. In this highly visible position, the individual must work proactively and independently as the primary internal and external liaison for a senior management team in a very fast pace working environment.

Job Description:

As an Administrative Specialist, candidate will be required to provide a high-level of diverse administrative support to an assigned group of senior management team members (which include the CEO and CFO). Candidate will maintain the highest level of confidentiality and professionalism while preparing, handling, and processing information.
Candidate will be responsible for compiling, creating, and managing various reports,(in both excel worksheet format and graph format) power points presentations and other marketing material.
Candidate will prioritize and direct information/people to appropriate resources as well as understand and interface with all levels of personnel. Additional duties will include (but not be limited to) the following:
• Collect and maintain accurate data to prepare various reports and statistics.
• Set up and maintain office files, and filing correspondence and other documentation.
• Compose memoranda, certificates, and correspondence utilizing office software applications.
• Provide occasional backup for other administrators.
• Must have excellent oral and written communications.
• Proactive self-starter with customer service focus and attention to detail.
• Must be flexible, able to multi-task, possess strong organizational skills with the ability to function in a team environment.
• Must be able to take direction from multiple team managers, interface well with others and work as a team member.

Qualifications:

• Associate’s degree or equivalent with 6+ years of progressively responsible general administrative/secretarial experience working in a fast-paced, professional organization with extensive, multi-tasking background.
• Must have a high level of detail since work requires accuracy.
• Excellent written and verbal communication skills with ability to explain issues and processes to both staff and managers.
• Must be comfortable and effective communicating with all levels of customers and employees in person or via telephone and email, must respect confidentiality of subject matter.
• Ability to work independently with minimum supervision.
• MUST have STRONG Proficient working experience with Microsoft Office applications (MS Word, Excel and PowerPoint).
