Full-time Administrative Services Supervisor

at Hiring Director in San Francisco, CA

We are a fast-paced San Francisco-based firm looking for a full time Administrative Services Supervisor to join our team. The candidate we seek is a hands-on team player, fluent communicator, able to juggle multiple responsibilities with sometimes conflicting deadlines, demonstrates strong organizational skills and has the flexibility and talent strengths to step into any job whenever necessary. This individual will directly supervise a small team providing a wide spectrum of services to internal and external clients.

Responsibilities include supervising a team responsible for mail distribution, copy services, hospitality services, conference room set-up, reception assistance and other general office duties as needed.

Job Responsibilities:
• Daily processing and distribution of incoming and outgoing mail and packages.
• Ensure photocopy and report binding requests are met.
• Conference room set-up and configuration including scheduling, attendance record, furniture arrangement and catering/hospitality requests.
• Responsible for all hospitality services orders including catering and standard food/beverage offerings provided for internal office consumption.
• Assess incoming departmental requests and select the best resources for successful completion without impact to other daily services provided.
• Coordinate and balance workflow within the team.
• Monitor work flow to ensure that daily office operations are completed efficiently, accurately and within deadlines.
• Ensure team provides outstanding service to internal and external clients.
• Own all stationary and office supplies orders and develop inventory/tracking system.
• Communicate with other office locations as needed.
• Develop/refine office forms and processes as needed.
• Produce required reports on schedule.
• Immediately resolve any operational problems or issues.
• Provide new-hire orientation services to explain office policies and procedures to incoming staff in the San Francisco location.
• Communicate with Department Manager on job or deadline issues.

Qualifications:
• Bachelor’s degree
• Minimum of 3 years office service experience, preferably in a legal, banking or large corporate environment.
• Understanding of postal equipment including standard shipping software and an awareness of postal regulations.
• Experienced leading and directing employees.
• Ability to make independent decisions.
• Developed problem-solving talents.
• Ability to work in a fast-paced team environment.
• Attention to detail with emphasis on accuracy and quality.
• Ability to prioritize work to balance multiple projects and deadlines.
• Ability to learn and retain information in a variety of areas.
• Willingness to do whatever it takes to get the job done.
• Excellent verbal and written communication skills
• Ability to inspire staff and work with professionals in all tiers of management within the organization.
• Demonstrated respect for discretion.
• Proficient in Microsoft Office.
