Position Overview
This position supports and monitors all Records Center Operational aspects of the Johnson & Johnson Services Health Care Systems (JJHCS) Compliance Program Organization as well as remote locations.
Essential Job Functions
• Process new transfers ensuring compliance with established retention schedules. Analyze, approve and process transfers in accordance with departmental procedures.
• Validation of TRIM database ensuring that information is indexed and entered consistently and accurately. Generate reports and proofread in accordance with departmental policies and procedures.
• Assist with destruction process in accordance with departmental work instructions.
• Generate quarterly records center audit reports. Report discrepancies to management. (i.e. duplicate boxes, box with no files, files with no box etc.)
• Perform analyses and problem resolution with Records Manager.
• Assist with internal and external records audits/inventories.
• Submit work orders and track completion for the delivery and receipt of confidential information utilizing excel work instruction spreadsheet.
• Support vital records protection program. Collect, duplicate, index and verify documents as requested. Monitor transfer, receipt, storage and box movement to vital records facility.
• Process requests for critical documentation such as:
Obsolete specifications
Checklists
Indices
Distribution memos and validation documentation
• Assist in the account remediation process providing support for the burning of CD’s in accordance with work instructions.
Additional requirements
• Employees must be able to lift boxes weighing approximately 40 pounds.
Other Skills/Abilities
• Proficient Microsoft Suite.
• Perform various scanning applications.
• CD reproduction.
