QUALIFICATIONS:

Minimum Education, Certification or Training –
Bachelor’s degree or equivalent work experience.

Minimum types/ years experience/knowledge –
Three years of progressively responsible experience in an administrative capacity. Proficient in word processing, spreadsheets, and one year experience working with a data base management software. Ability to maintain confidentiality of work and to use good judgment. Ability to understand and follow complex oral and written instructions. Excellent interpersonal skills, with the ability to establish and maintain rapport with constituents. Ability to sustain a high degree of accuracy and concentration. Ability to organize work effectively and efficiently to meet deadlines, detail-oriented, handle multiple tasks, and self-motivated. Ability to work effectively in a complex and dynamic organization while balancing competing priorities. Possess flexibility to work in a changing environment. Unquestioned integrity and professional ethics.

JOB SUMMARY:

Provide various clerical and general administrative tasks support for the Office of Institutional Advancement. Responsible for coordinating the operational activities of the University capital campaign. Responsible for pledge and gift recording, and transmittal processing daily. Responsible for creating and maintaining all files and records. Responsible for maintaining supplies and office equipment for the Office of Institutional Advancement.


SPECIFIC DUTIES:

Administrative (45%)

• Represent the Office of Institutional Advancement in a positive manner. Greet visitors, secure nature of visits and directs to appropriate individual. Provide information internally and externally in a professional manner.

• Answer and direct incoming phone calls to appropriate individuals.

• Responsible for creating new files and records and maintain current files and records.

• Responsible for preparing purchase orders in Banner for the Office of Institutional Advancement and maintaining track of publication/magazine subscriptions.

• Responsible for maintaining office equipment and ordering supplies.

• Provide clerical support, distribute mail, run errands, make coffee daily, unlock files every morning and lock again every evening, and xerox as needed.

• Gain thorough knowledge of business and office policies and procedures.

• Serve as Petty Cash Custodian.

• Train student assistants for filing, errands and general office procedures.

• Maintain IA Conference Room calendar.

• Perform other duties as assigned.

Campaign (30%)

• Provide report assistant for campaign updates.

• Provide administrative support in the planning and implementation of activities and special events of the capital campaign: organize and facilitate meetings; schedule and coordinate dates and times, venues, agenda, and facilities.

• Gather and assemble material and data for reports and meetings.

• Executive mailings for campaigns. Log mailings accurately in mail log.

• Assist in executing cultivation events and programs.

• Complete special projects as requested.

Database (25%)

• Responsible for recording pledges, gifts and processing of gifts transmittals in accordance with established procedures. Provide balance reports daily.

• Enter, maintain, and retrieve information from the Raiser’s Edge database.

• Assist in generating guest and prospects list and entering RSVP and invitation information in the database.

• Manage coding in the Raiser’s Edge database for special events, President’s Fund, stewardship and tracking.

• Serve as backup for the batching and acknowledgement processing functions of the gift transmittals process.

• Handle confidential information.
